Every server bans people. Almost none of them have a real way to hear it when they get one wrong.

The usual options are a Google Form nobody checks, a DM to whichever mod is online, or nothing at all. All three leak the same way: good members leave permanently over a mistake, and your staff burn hours on a process that lives in three places and remembers none of it.

How appeals actually work

1. They get sanctioned

When a ban, mute, or warning is issued through VantaBot, the member receives a DM with a direct link to your appeal page.

Members sanctioned outside the bot, banned straight from Discord's own UI for example, do not get that DM, but they are still eligible to appeal. The link is public, so you can post it in your rules channel, in your server description, or anywhere a removed member can still find it.

2. They open your appeal page

Every server gets its own page at appeals.vantabot.net. The member signs in with Discord, so there is no account to create and no form field where they type a user ID they might get wrong.

VantaBot checks their sanction server-side before it shows them anything. For bans, it verifies against Discord's actual ban list. For mutes and warnings, it checks the case history VantaBot recorded when the sanction was issued. Someone who was never sanctioned cannot submit an appeal, and someone appealing a ban cannot pretend it was a warning.

That check is the part a Google Form can never do. It is also what stops your review queue filling with noise.

3. They answer the questions you wrote

This is the part most appeal systems skip.

You build a separate question set for each sanction type from the dashboard. Bans, mutes, and warnings can each ask something different, because they are different situations and "why should we unban you" is the wrong question for a 10 minute mute.

• Write any question you want. Short answer or long answer.
• Mark questions required or optional.
• Drag to reorder them so the form reads the way you want it read.
• Change them whenever you like. Answers are snapshotted at submission, so editing your form later never rewrites what someone already told you.

Most servers end up with something like: what happened, what would you do differently, and is there anything we should know. Yours will look like whatever your community actually needs.

4. Your staff review it with the full picture

The appeal lands in your review channel as a clean, readable post. Every question sits directly above its answer, so nobody is scrolling to work out what a paragraph is responding to. Long appeals split across multiple messages without ever separating a question from its answer.

Your staff see who they are, what they were sanctioned for, when, and what they said about it. Then they accept or deny, optionally with a reason.

The review channel is optional. If you would rather work entirely from the dashboard queue, you can.

5. Accepting actually does the thing

This is the difference between an appeal system and an appeal form.

• Accept a ban appeal and VantaBot unbans them.
• Accept a mute appeal and VantaBot lifts the mute.
• Deny it and it closes with your reason attached.

No moderator has to remember to go and undo it manually. No member gets told "you're unbanned" and then finds out they aren't.

VantaBot attempts to DM the member the outcome. Discord does not let any bot guarantee delivery to someone with DMs closed, so treat that as best effort rather than a promise. The decision itself is always recorded.

Why this is worth having

Bans are not free. Every wrongly removed member is someone who was already in your community, already knew the rules, already contributed. Replacing them costs far more than hearing them out.

Your staff already do this work. They just do it in DMs, at 2am, without notes, without a record, and with three different mods giving three different answers. An appeal system does not create work. It moves work you are already doing into somewhere it can be shared, remembered, and reviewed.

It changes how moderation feels. A server with a visible appeal process is a server where people believe the rules apply fairly. That is worth something on its own, and it makes your moderators more willing to act decisively, because a mistake is recoverable.
